Binder

Build a one-binder life-safety file

One binder, paper or digital, with the certificates, the reports, the device list, and the next due date.

Open a free ledger

The digital version of the next-due list is the free ledger.

Folder list

  1. Certificates, and the monitoring account if the building has monitoring.
  2. Inspection reports, newest in front, one set per system.
  3. Device inventory: the label, and where it sits in the building.
  4. Service contracts the building has already signed.
  5. Next-due dates for the fire alarm, sprinkler, fire pump, hood and Ansul, extinguisher, and backflow.
  6. The emergency-light log beside those dates.
  7. Any deficiency list and re-inspection date.
  8. A handoff sheet when the manager changes.

The digital next-due list

The free ledger stores the building, the six test types, and the next due date on this device. It does not replace the reports. It keeps the date that the shop's note is drafted from.

Questions

Is the ledger the whole binder?

No. It is the next-due list and the note the shop drafts. Reports stay in the binder.

What if the manager leaves?

Print the handoff sheet. The next contact needs the due date and the shop phone.
